Medical Biller

Under the supervision of the Medical Billing Manager, the Medical Biller will be responsible for processing claims for participants in the agency’s Developmental Disabilities, Foster Care and Mental Health programs. S/he is responsible for assuring that the agency is accurately capturing client billing information and processing that information through New York State Medicaid, Medicaid Managed Care companies and Third Party Insurance Companies.  The goal is to provide accurate and timely billing to maximize revenue collection.  S/he will be involved in electronic medical records activities and will assist in assuring agency compliance with state and federal regulations agencies.  Day-to-day responsibilities vary from location to location.

Essential Functions:

Foster Care- Medicaid (FCA)

  • Run monthly report in third party software for care days
  • Manually enter missing care days and rebills into software (Astoria)
  • Run billing report and send over to agency consultant who submits claims on behalf of the agency (PG software)
  • Retrieve remit(s) from eMEDNY and upload into PG software. Post to A/R and work on denials for resubmission(s)
  • Together with the medical billing manager, provide billing report to senior staff and enter into Financial Edge
  • Other duties as needed

Mental Health- Article 31 Clinic

  • Use coded data to produce and submit claims to Medicaid and insurance companies
  • Working directly with the Medicaid, insurance companies, healthcare provider(s), and patient(s) to get claim(s) processed and paid as appropriate.
  • Produce source material to agency so they can review and, if appropriate,  appeal unpaid claim(s)
  • Manage A/R, follow up on all denied, rejected and pended claims and work on aging report weekly.
  • Post manual remits into third party software (if applicable)
  • Reconcile sign in sheets weekly
  • Reconcile copay and deposit slips weekly
  • Super User for third part billing software
  • Together with the medical billing manager, provide billing report to senior staff and enter into Financial Edge
  • Other duties as needed

Foster Care- Mental Health Clinic

  • Run report in third party billing software for monthly billing census
  • Print out progress notes sent by clinic staff to attach to the billing sheet in Excel
  • Scan completed billing and progress notes into the “G” drive
  • Post manual payment in third party software
  • Manage A/R and contact FCA agencies with outstanding claims
  • Together with the medical billing manager, provide billing report to senior staff and enter into Financial Edge
  • Other duties as needed

Health Homes

  • Run monthly census to review with program and ensure all claims have been captured for the month
  • Run remit reports to validate revenue received
  • Together with the medical billing manager, provide billing report to senior staff and enter into Financial Edge
  • Other duties as needed



  • High School Diploma Required; Associates Degree Preferred
  • 3 years’ experience in a medical billing role; preferred experience Article 31, and/or human services
  • Certifications in billing and coding a plus
  • Strong familiarity with Medicaid and insurance web portals and knowledge with the life cycle of claim(s)
  • Excellent MS office skills preferably intermediate excel knowledge such as (pivot tables, advanced formulas, linking spread sheets, etc.)
