HR Coordinator - Temporary

Job Summary: The Human Resources Coordinator oversees the timely turnaround of new hires by offering employment opportunities, scheduling onboarding appointments to process new hires, and by expediting start dates in accordance with funder and agency requirements.  

Essential Functions

  • Coordinates the new hire process (offers positions, schedules appointments, processes paperwork, identities and verifies credentials, creates ID cards, etc.).
  • Ensures ongoing federal compliance in accordance with I-9’s and W-4’s
  • Performs employee background checks and monitors clearances including but not limited to fingerprinting appointments/criminal history results, Statewide Central Registry Checks, Sex Offender Registry, Drug Tests, staff exclusion lists, driver’s abstracts, and physicals/PPDs.
  • Liaise with hiring managers in order to provide updates on the progress of new hires including projected start dates, and information pertaining to outstanding clearance matters.
  • Contacts new hires to set start dates, and informs management teams of information pertaining to outstanding issues.
  • Build positive and lasting relationships with members of the Human Resources and Professional Development team as well as key stakeholders throughout the agency.
  • Enters data into the HRIS System as needed.
  • Provides administrative support as directed (faxing, filing, scanning, phones, etc).
  • Follows up with any outstanding compliance issues for new hires.
  • Prepares reports and provides analysis as requested.
  • Expedites the turnaround time of new hire packets, offers, and appointments.
  • Performs other administrative tasks and duties as assigned by supervisor.


  • Bachelors Degree Required
  • Bilingual Spanish / English preferred
  • Must be extremely organized and manage time efficiently
  • Must be articulate, competent, and willing to go the extra distance for achievement
  • Previous experience with ADP or other HRIS Systems
  • At least one year experience in a similar human resource role
  • Strong knowledge of Microsoft Publisher, Word, Outlook and Excel

Physical Requirements: Must have the ability to complete all standard administrative and support tasks including but not limited to climbing up and down stairs, operation of computers/phones/fax/printer/copy machine, and the ability to lift boxes, furniture, and equipment up to 30lbs. Must be able to travel from the various locations and sites of Sheltering Arms.
